Barrett Firearms: Intelex to SharePoint Online document control migration

Barrett Firearms moved document-control data from Intelex 6.5 to SharePoint Online GCC High. XferWorx analyzed the legacy data, mapped connected records, and prepared and validated the content for transfer, so destination-side designers could build the SharePoint interface on organized information.

The challenge

More than a file move

Barrett’s Intelex environment held years of document-control information across thousands of connected tables. Moving files alone would not preserve the history and context that made those records useful.

The system supported documents, version history, metadata, approvals, reviews, change requests, and attachments. Those records depended on relationships that had to be understood and mapped before the migration could be designed.

The goal was not simply to move data. It was to prepare its history and relationships for a new platform.

The legacy platform ran on Intelex 6.5, Windows Server 2008 R2, and SQL Server 2012. Barrett needed a path to a modern document-control environment before the aging platform became a greater business risk.

Start with evidence

Prepare the data before building the interface

Intelex and SharePoint Online organize information in fundamentally different ways. Moving documents was only part of the work: source tables, relationships, metadata, revisions, approvals, reviews, and requests had to be understood and mapped into SharePoint structure.

XferWorx analyzed the database structure, traced relationships, validated sample records, developed research and export queries, and documented how source information should map to SharePoint libraries, lists, and metadata. Custom PowerShell migration processes carried that preparation into tested data transfers.

Once the data model was mapped, prepared, and validated, SharePoint Online designers could focus on building the user-facing interface on the destination side.

The approach

Discover, map, validate

The migration process was tailored to the Intelex environment and refined through sample and large-volume testing.

01 · UNDERSTAND THE SOURCE

Trace the legacy data model

Analyze database tables and relationships to understand how documents, revisions, metadata, and related records fit together.

02 · MAP AND PREPARE

Shape the data for SharePoint

Map source information to SharePoint libraries, lists, and metadata, then use custom PowerShell processes to transform and migrate it.

03 · VALIDATE THE TRANSFER

Reconcile records and exceptions

Test samples and larger transfers, review exceptions with the customer, refine the migration process, and reprocess records when needed.

Project scale: more than 3,340 database tables analyzed · approximately 20 GB of metadata · over 100 GB of files

The outcome

Completed by the required go-live date

XferWorx’s data-discovery and migration work prepared and transferred Barrett’s document-control records into SharePoint Online GCC High, preserving document history, metadata relationships, approval and review records, request records, and business context for the destination solution.

Warnings and exceptions were reviewed, validated, and resolved through testing, client review, and reprocessing where corrective action was needed.

  • Document history and revisions preserved
  • Metadata relationships maintained
  • Approval, review, and request records carried forward
  • Warnings reviewed and resolved with client visibility

Planning a complex migration?

Start by understanding the source

When business records are connected across a legacy platform, discovery can clarify what must move, how it fits the destination, and how to validate the result.
